Who we are

What data we collect

We collect personal data only when you actively submit it to us:

• Contact and enquiry forms — name, email, phone, company, message
• Free energy assessment — email, sector, energy spend details
• Energy Matchmaker — email, sector, technology preferences
• Solar estimator — email, company name, solar estimate results
• Hotel energy bill upload — name, email, hotel name, bill documents
• Infrastructure brief request — name, email, phone, company
• Chat widget — questions you type; these are processed by Anthropic AI and logged to improve the service

How we use it

• To respond to your enquiry or request
• To send you the report or document you requested
• To notify our team of new leads and follow up with you
• To improve our tools and services

We do not sell your data to third parties. We do not send unsolicited marketing without your consent.

Third-party processors

We share data with the following processors solely to deliver our service:

• Airtable — lead and contact management (USA, EU–US DPF)
• Resend — transactional email delivery
• Supabase — chat log storage (EU region)
• Anthropic — AI processing of chat queries
• Voyage AI — generating search embeddings from chat queries
• Google APIs — address geocoding and solar potential data

Retention

Lead and contact data is retained in Airtable for up to 3 years or until you request deletion. Chat logs are retained for up to 12 months.

Your rights

Under UK GDPR you have the right to access, correct, delete or restrict processing of your personal data. To exercise any of these rights, email jason@eko19.com and we will respond within 30 days. You also have the right to complain to the ICO at ico.org.uk.
